Developed an electronic patient record system to automate client onboarding, clinic booking and clinician review workflows, allowing the company to scale to hundreds of customers

The challenges
Nation Occupational Health was started by established founders who recognised the difference that high quality software could make in providing excellent care. The directors and senior clinicians had all worked in previous organisations where their operational systems had been a stranglehold on growth. These were characterised by
Disconnected systems everywhere: Workflows that relied on a patchwork of disconnected software tools and paper-based documentation. Information that lived in silos, making it nearly impossible to get a complete picture of any client or case.
Manual scheduling chaos: Manual coordinating appointments between clients, employees, and clinicians meant endless phone calls and emails. Double bookings were common, and clinician time was being wasted.
Administrative time drain: Clinicians who spent more time on paperwork than patient care. Every assessment requiring multiple forms, manual data entry often with duplicate data, and time-consuming filing.
Zero visibility for leadership: Management unable to track business performance in real-time. Decisions based on gut feeling rather than data, making planning for growth very challenging impossible.
Scaling was impossible: Current systems meant that serving large clients e.g. Universities with thousands of students requiring occupational health services was not possible.
The team was motivated and capable, but they were drowning in operational inefficiency. Without a solution, their growth plans would remain just that—plans.
Our approach
We structured our partnership with Nation Occupational Health into four strategic phases:
Phase 1: Deep dive into their world
We didn't start by writing code. We started by understanding their clinical workflows from the inside out. Our team spent time with clinicians, administrators, and leadership to map every step of their process from the moment a referral arrived to the final health surveillance report. This clinical insight was crucial to building a tailor made system.
Phase 2: Unified system architecture
We designed a comprehensive electronic health record system that would become the single source of truth for their entire operation. The software was split into multiple modules which included billing, scheduling, authentication and permissions management as well as clinical workflows and management oversight. This wasn't about replacing one system at a time it was about creating an integrated platform where every piece of information flowed naturally from one stage to the next.
Phase 3: Intelligent automation
We built smart workflows that could handle routine cases automatically while routing complex situations to the right clinicians. For example, with pre-placement assessments, the system could instantly generate fitness slips for straightforward cases, freeing up clinical time for cases that genuinely needed expert review. We developed digital case management that eliminated paper trails entirely.
Phase 4: Empowering the business
We created a centralised calendar system with integrated product catalogs and automated invoicing. For health surveillance, we built digital documentation and notification systems that kept everyone informed without manual follow-ups. Most importantly, we developed a management dashboard that gave leadership real-time visibility into every aspect of their business performance.
